  • Overview

    We are looking for an Administrative Assistant to our Chief Marketing Officer.  In this role you will be a trusted supporter to the executive. You are responsible for making sure that she has the bandwidth to focus on the most important issues at hand. That means that you can handle the day-to-day tasks - overseeing schedules, processing invoices, preparing for meetings, and coordinating events -- in addition to higher-order work like managing sensitive information and relationships; taking on special projects; and solving problems of all magnitude with grace. You are adaptable, take initiative, and do whatever it takes to keep the department running smoothly. You will use your high-level calendar management skills, excellent attention to detail, the ability to field numerous inbound requests and manage high-traffic email inboxes, along with the passion, vision and self-directed initiative to step outside of regular duties to benefit the team. 

    Duties & Responsibilities

    • Scheduling internal/external meetings, business travel and conference calls and providing technological support on an ongoing basis and arranging internet-based meetings, calls and webcasts.
    • Handling of expense reports, invoice payments, scanning and electronic filing of documents; preparing correspondence, reports and agendas.
    • Anticipating materials and technology resources as needed for meetings.
    • Acting as the public face for the executive and responding to internal and external contacts of the organization with professionalism and integrity.
    • Maintaining discretion and a keen understanding of the personnel as well as the organizational and legal impacts of the information handled.
    • Being familiar with the unique aspects of executive’s department and responsibilities to effectively process incoming information.
    • Working closely with both internal and external customers to meet their service needs. May be responsible for providing support to the business line staff in the areas of reporting, customer/business documentation, sales and service goals.
    • Provides a "gatekeeper" and "gateway" role, creating win-win situations for direct access to the executive’s time Proactively manage through any problems or obstacles that arise while completing every day responsibilities
    • Provide strong level of customer service to the internal team and the clients and anticipate needs and be proactive with solutions

    Education & Experience

    • 5+ years of experience in an administrative position supporting a C-Suite executive, preferable in a marketing department or ad agency
    • Excellent communication skills, both verbal and written and strong organization skills and strong attention to detail; the ability to prioritize
    • Flexible, positive approach in a fast-paced environment,
    • Quick learner with a knack for technology — able to figure out new systems and adapt on the go.
    • Knowledge of and strong interest in using and learning about technology tools as well as experimenting with different technologies to improve efficiency in executing tasks.
    • Highly proficient in technology office productivity and collaboration tools including Microsoft Office (Outlook, Word, PowerPoint, Excel), SharePoint, and Google Apps (Gmail, Calendar, Docs, Sheets)
